What data may be collected

VectraOps may collect information that visitors actively submit through forms, such as name, email address, company name, message content, topic suggestions, feedback and downloadable resource requests.

The website may also collect basic technical and usage data such as viewed posts, content category, referrer information, timestamps, browser type, approximate device information, approximate country/region/city when provided by the hosting/CDN layer or derived from a local IP geolocation database, returning-visitor status and aggregated search or filter usage.

Analytics

VectraOps uses lightweight analytics to understand which pages, categories, downloads and topics are useful to visitors. This helps improve the content library, identify outdated pages and decide which topics should be expanded.

Where IP-based analytics are used, raw IP addresses are not stored by the application. A one-way hash is stored for visitor recognition, and the raw IP is only used during the request to derive an approximate country, region or city when geographic enrichment is enabled. The website can also use a first-party pseudonymous visitor identifier to recognise returning visitors and measure time spent on posts. Analytics are intended for operational insight and content improvement, not for intrusive visitor profiling.

Cookies

The website may use essential cookies for security, sessions, forms, login protection, administration and first-party website analytics. These are needed to understand website usage, detect returning visitors and improve the content experience.

If non-essential analytics, advertising, tracking or marketing cookies are added later, the cookie explanation and consent process should be updated before those cookies are used.

Contact, feedback and report forms

When you submit a contact message, business inquiry, feedback message or incorrect-content report, the submitted details are stored so the message can be reviewed and handled. This information may include your name, email address, subject, message and the related post URL if applicable.

Do not submit passwords, secrets, API keys, confidential customer data or sensitive production details through public website forms.

Topic suggestions

Topic suggestions may be used to improve the editorial planning workflow. A suggestion can be reviewed, planned, rejected or converted into a title queue item for future content generation.

If you provide an email address with a suggestion, it may be used to follow up on the suggestion or ask for clarification.

Lead capture and downloadable resources

Some downloadable resources may request details such as name, email address and company. These details are used to provide access to the requested resource, understand content demand and improve future resources.

Lead forms should include clear consent text. Submitting a form does not mean you should receive unrelated communication unless consent for that purpose is clearly requested and provided.

Data retention

Contact messages, topic suggestions, lead records and analytics records should only be kept for as long as needed for the purpose for which they were collected, operational reporting, security, improvement of the service or applicable legal requirements.

Records that are no longer useful should be reviewed periodically and removed or anonymised where appropriate.

Security

VectraOps should be operated with reasonable technical and organisational security measures, including restricted Control Center access, secure cookies in production, HTTPS, database backups and limited access to submitted form data.
